Bookings & automation

Bookings, reminders and admin — handled for you.

The phone rings while you’re busy with a client. Someone doesn’t show up and an hour is wasted. Your evening goes to quotes and follow-ups. That’s the work we take off you.

What we automate.

  • 01

    WhatsApp and online bookings

Customers book from a link or a chat, day or night. You choose: the system confirms on its own, or waits for your okay.

  • 02

    Reminders and confirmations

Everyone gets a reminder before their appointment. If they need to change the time, they do it in the same chat.

  • 03

    Quotes and follow-ups

The quote goes out the day you promised it. The follow-up goes out a few days later. The unpaid invoice gets a polite nudge. None of it depends on your memory.

  • 04

    New-client forms and records

Clients fill in their details before they arrive. Everything sits in one tidy place, not on someone’s personal phone.

  • 05

    A helper that answers questions

It knows your prices, hours and directions — the questions you answer ten times a week. It writes the reply; you approve anything it isn’t sure of.

  • 06

    A simple weekly summary

How many bookings, how many no-shows, who keeps coming back — one short summary each week, no spreadsheets.

How a WhatsApp booking works.

  1. 01

    They message you

A client taps your link or scans a code and gets an instant reply. Before any details are taken, the chat asks their permission to keep them.

  2. 02

    They pick a time

The chat offers real open times from your diary and books the one they choose.

  3. 03

    They show up

They get a confirmation right away and a reminder before the time. If they need to move it, the same chat sorts it out. Fewer empty gaps in your day.

POPIA, done properly.

POPIA is South Africa’s privacy law. Health details fall under its strictest rules, and even a name and phone number are protected. Many booking tools leave that problem to you. We don’t.

Every booking system we build runs on the official WhatsApp Business Platform under a written agreement, asks each client’s permission in the chat — including for the fact that WhatsApp sends data overseas — keeps marketing messages separate and strictly opt-in, stores as little as possible, and keeps what it stores encrypted, so outsiders can’t read it. We come from the security world; this is the part we’re fussy about.

One honest note: no tool can make a business POPIA compliant on its own, and anyone promising that is selling you something. We build the booking side properly and hand you the paperwork that shows how the details are handled — the written agreement, the permission wording, the privacy notice.

how we handle data

Do reminders really cut no-shows?

Independent research says yes. A Cochrane review of eight studies found attendance rose from 67.8% to 78.6% when patients got a text reminder. A BMJ Open study of about 16,000 patients found people who got a reminder were 25% less likely to miss their appointment. A PLOS ONE review of African studies found reminders roughly doubled the chance of people turning up. Those studies used SMS — we send the same kind of reminder over WhatsApp.

What it costs.

One fixed quote in writing, based on what you want handled — plus a monthly amount you agree to before anything starts. You own the result: your data and your client list, yours to take out any day. No overseas subscription that almost fits.

Can it book into my existing diary?

Usually, yes. Google and Outlook calendars and most common diary tools connect. If yours doesn’t, we build around it. The quote says exactly what will connect before you agree to anything.

What happens when the helper doesn’t know an answer?

It doesn’t guess. It hands the chat to you and lets you know — and you approve anything it isn’t sure of.

Do I need a new phone number?

No. We can set up a separate business number or use the one you have — we’ll tell you which is cleaner for you.

What about my clients’ details?

They’re handled under a written agreement, permission is asked up front, as little as possible is stored, and what is stored is encrypted — and there’s a plain-language privacy notice you can show anyone who asks.
